    𝗢𝗻𝗲 𝘁𝗵𝗶𝗻𝗴 𝗜 𝗹𝗼𝘃𝗲 𝗮𝗯𝗼𝘂𝘁 𝗯𝗲𝗶𝗻𝗴 𝗮 𝗱𝗮𝘁𝗮 𝗮𝗻𝗮𝗹𝘆𝘀𝘁 𝗶𝘀 𝗵𝗼𝘄 𝗜 𝗮𝗽𝗽𝗹𝘆 𝗶𝘁 𝗶𝗻 𝗺𝘆 𝗱𝗮𝗶𝗹𝘆 𝗹𝗶𝗳𝗲 𝘁𝗼 𝘀𝗼𝗹𝘃𝗲 𝗿𝗲𝗮𝗹 𝗽𝗿𝗼𝗯𝗹𝗲𝗺𝘀. A while ago, I used to track sales for my business manually in a notebook. Every transaction meant flipping through pages, doing calculations by hand, and trying to keep up with inventory. It was stressful! 😩 Sometimes, I’d run out of stock without realizing it. Other times, I’d spend hours trying to figure out my total sales and profit. I knew there had to be a better way. So, I built an 𝗔𝘂𝘁𝗼𝗺𝗮𝘁𝗲𝗱 𝗦𝗮𝗹𝗲𝘀 𝗧𝗿𝗮𝗰𝗸𝗲𝗿 & 𝗜𝗻𝘃𝗲𝗻𝘁𝗼𝗿𝘆 𝗠𝗮𝗻𝗮𝗴𝗲𝗺𝗲𝗻𝘁 𝗦𝘆𝘀𝘁𝗲𝗺 𝗶𝗻 𝗘𝘅𝗰𝗲𝗹 to make my life easier. 𝗪𝗵𝗮𝘁 𝘁𝗵𝗶𝘀 𝘀𝘆𝘀𝘁𝗲𝗺 𝗱𝗼𝗲𝘀: ✅𝗔𝘂𝘁𝗼𝗺𝗮𝘁𝗲𝗱 𝗦𝗮𝗹𝗲𝘀 & 𝗣𝘂𝗿𝗰𝗵𝗮𝘀𝗲 𝗘𝗻𝘁𝗿𝘆 ▫️ VBA Macros: Instead of manually inputting data, I used VBA Macros to log transactions with just one click. ▫️ Data Validation: Selecting a product category automatically populates the products under that category for accuracy. ▫️ XLOOKUP: Instantly retrieves product ID, prices and cost, eliminating manual lookups. ▫️ Real-Time Calculation: Uses the PRODUCT() function to compute totals automatically. ✅ 𝗜𝗻𝘃𝗲𝗻𝘁𝗼𝗿𝘆 𝗠𝗮𝗻𝗮𝗴𝗲𝗺𝗲𝗻𝘁 𝗦𝘆𝘀𝘁𝗲𝗺 ▫️ SUMIF() tracks purchases & sales per product for real-time stock updates. ▫️ Stock Calculation: Remaining stock is automatically computed (Purchase - Sales). ▫️ IF() Function for Stock Alerts: Every sale or purchase instantly updates inventory, with alerts like "Low Stock", "Out of Stock" or “In Stock” ✅𝗜𝗻𝘁𝗲𝗿𝗮𝗰𝘁𝗶𝘃𝗲 𝗮𝗻𝗱 𝗗𝘆𝗻𝗮𝗺𝗶𝗰 𝗦𝗮𝗹𝗲𝘀 𝗗𝗮𝘀𝗵𝗯𝗼𝗮𝗿𝗱 ▫️ Visual insights on best-selling products, sales trends, revenue breakdown, and Inventory Values using Pivot Tables and Charts. 📍 With this system, I have saved time, reduced errors, and made better business decisions.     I used to think more prospects meant more opportunities. Ten well-tracked ones outperform fifty forgotten ones every time: 50 prospects. Without a system, most of them go cold before you even follow up. Outreach without a tracker is basically a memory test. And memory loses (most of the time). So I built one. Here's what it tracks: - Name and firm. Basic, but essential. - Score. A to D. A is ideal fit, D is too early to contact. - Status. First message sent, reply received, call booked, no response. - Posting activity. Are they active on LinkedIn? Sporadic? Dormant? - Last contact date. Because timing matters more than most people think. - Notes. One or two lines about the conversation, not a novel. The scoring system is the most important part. It tells me where to spend time. A-rated prospects get consistent attention. D-rated prospects go back on the shelf. Without the tracker, I'd be messaging the same people twice and ignoring the ones most likely to convert. I'd be reactive instead of deliberate. You don't need 50 prospects. You need 10 well-tracked ones. Build the system before you need it. That's when it's actually useful.

    "How many deals did we close from our SDR outreach last quarter?" Before you invest in another sales tool promising 'TOTAL visibility,' step back and think if your current systems could tell a better data story A few years before I took the founder route, my CEO asked me this 'simple' question I had all the numbers on calls made, emails sent, meetings booked—but I couldn't connect these activities to actual closed revenue. Our CRM was a data lake, but not a story-telling machine. We'd built a Frankenstein's monster of sales tracking a lot like this... ✅ Sales Engagement Platform counting dials and clicks ✅ CRM tracking leads and opportunities ✅ A Calendar app storing meetings ✅ An Accounting tool recording revenue Each system was excellent at its job. But they weren't talking to each other and it was like having four expert doctors treating one patient without sharing notes. After 3 months of rebuilding our architecture we implemented 3 core principles to track SDR impact: 1. The Golden Thread: Campaign Attribution IDs We created unique identifiers for each outreach initiative that followed contacts throughout their journey—from first touch to closed deal. 2. Two-Way Data Syncs We implemented bi-directional syncing between all systems, creating a complete loop where information flowed freely and the impact was immediate. 3. The Credit Where Credit is Due System We built a time-decay attribution model that recognized the reality of complex B2B sales—multiple touches over time contribute to success. An email sequence that's not bringing in meetings could be priming conversions at 3x the rate when contacted 30 days later. Six months after implementing these changes, we discovered that a good chunk of efforts were uncredited. Our CEO's impossible question now had a dashboard with real-time answers. But more importantly, our SDRs could see the direct impact of their work, experiment with approaches, and continuously improve.     One Power BI Matrix visual turned into a monthly KPI tracker. I wanted a simple way to see: • Which days hit the target • Which days missed it • The exact sales value for each day So I turned a Power BI Matrix into a calendar-style KPI tracker. Green = Target achieved. Red = Target missed. Sales values displayed directly inside each date cell. No custom visuals. Just a Matrix, a Date table, and conditional formatting. Sometimes the most useful dashboards aren't more complex. They're easier to read.     CROs/VP of Sales at SaaS companies with 25-250 AEs → this is for you. Last year, a sales team reached out with a problem I see everywhere. Their reps were technical experts. Industry veterans with 5-10 years experience. They knew the product inside and out. But they'd missed quota by 20-50% for 3 straight years running. The company was at 20-50% quota miss (3 years straight) with technical experts who knew the product inside and out but couldn't close deals. When I dug into their situation by starting off with a diagnostic, here's what I found: Their discovery was surface level garbage. Just feature dumping instead of uncovering real business pain. Zero deal management structure. Deals would just sit there and rot in the pipeline with no clear next steps. They were single-threaded on low-level decision makers. Getting stuck with people who couldn't actually buy anything. And they didn’t know how to build a buying committee internally. No coaching system whatsoever. 1:1s were just "how can I help you" sessions instead of performance drivers. Their HubSpot was a mess. No real tracking, no visibility, no accountability. The problem wasn't their people. These were good reps who wanted to win. The problem was their system. To fix this, we ran a 90 day sprint: We built a simple cold-to-sold tracker that took each rep 30 seconds per day to update. Suddenly they had visibility into every part of their sales process. We restructured their weekly team meetings from housekeeping BS into actual performance drivers focused on skills and accountability. We transformed their 1:1s from reactive "how can I help" to proactive coaching sessions with frameworks and scorecards. We implemented deal review processes that actually changed behaviors instead of just checking boxes. We created playbooks for both managers and reps so everyone knew what great looked like. Most importantly, we didn't just teach tactics. We taught systems that were repeatable for their specific roles. The results were insane: In 90 days, $1.5M closed revenue (150% of target) and $30M+ pipeline generated (6x coverage vs 3x). Fast forward, they blew out their annual target, multiple reps got promoted, and the VP became CRO within 12 months. And the big kicker is the reps were more confident. They showed up better in meetings. They were actually engaged instead of just going through the motions. At the end of the day product knowledge without systems is just expensive consulting. Your reps don't rise to the occasion. They rise to the structure you give them. If your team is filled with experts who still miss their number, it's not a knowledge problem. It's a system problem. Systems lead to predictable results. Systems let you take anybody you hire and turn them into a rockstar instead of hoping you find hero reps. 👇The real reason your best reps leave has nothing to do with talent.   • HOW I'M TRACKING OPPORTUNITIES WITH INPHINITY I’ve managed salespeople for about 20 years, and one thing was killing me.     Every business leader knows it. Tracking sales tasks is a mess.     You manage a bunch of salespeople, and you have to:     - Ask about the progress of each opportunity - Take and keep track of the related notes - Set up and follow up on tasks    I’ve tried everything.     A CRM system     ▲ Flexible enough to capture notes and tasks  ▼ Too many clicks and long loading times to open an opportunity window    OneNote, Evernote, Word, export to Excel, or just pen and paper     ▲ Quick to take notes and access them  ▼ Doesn’t make the tasks easy to track     Task management tools (MS Planner, Asana, or Todoist).     ▲ Great for managing tasks  ▼ Disconnected from the opportunities and their context in the CRM     Until it hit me.     I had the solution right under my nose.     What if we use our product – Inphinity?     I realized it was possible to:     → Drag-and-drop Inphinity onto the Qlik table with opportunities → Add custom fields: notes, next steps, deadlines, or priorities → Task a salesperson to comment or update CRM data    And it changed my world.     1) Notes from previous meetings were always updated, and we could start where we ended in the last call    2) New opportunities were immediately added to the table, and I could quickly comment on all of them from a single screen    3) Salespeople responded to the assigned tasks and updated what I’d asked them to    It took me a few minutes to implement and use it.     That's when I learned my lesson.     𝙌𝙡𝙞𝙠 𝙬𝙞𝙩𝙝 𝙖 𝙙𝙖𝙩𝙖 𝙚𝙣𝙩𝙧𝙮 𝙨𝙤𝙡𝙪𝙩𝙞𝙤𝙣 𝙞𝙨 𝙢𝙤𝙧𝙚 𝙛𝙡𝙚𝙭𝙞𝙗𝙡𝙚 𝙩𝙝𝙖𝙣 𝙖 𝘾𝙍𝙈.     A nice proof of the success of this systematic work has been our double-digit growth over the past years.     How do you manage sales opportunity tasks in your sales teams?
