At some point, Salesforce stops being “just a CRM”. It starts out simple. Fast. Drag-and-drop. But if you’re successful with it? It will become mission-critical infrastructure. That’s the Salesforce @ scale dilemma. → Quick wins lead to more departments wanting in → More custom apps, more integrations, more complexity → Every small change becomes risky, slow, and expensive Salesforce’s greatest strength, flexibility, starts to work against you. Imagine a company that starts with a Sales department using Sales Cloud. Then Marketing joins. Then the Service department wants Service Cloud. Then... why not do an Experience Cloud? Before you know it, 10 users become 1,000. The result? – Innovation slows significantly. – Operating cost rise –“Easy changes” now require dev teams and massive testing Why? Because they treated Salesforce like a CRM app… Instead of what it really is at scale: An enterprise platform. One of the biggest differences between good and great Salesforce developers is how they design with limits in mind. Salesforce’s multi-tenant architecture enforces Governor Limits to ensure that no single process monopolizes shared resources. Knowing the limits isn’t enough — what matters is how you design to stay within them. Here are key limits and ways to optimize your design: 1️⃣ SOQL Queries (Limit: 100 per transaction) Avoid queries inside loops. Use collections (List, Map, Set) to store and reuse data efficiently. Fetch only the fields you need — not “SELECT *”. 2️⃣ DML Statements (Limit: 150 per transaction) Combine multiple DML operations into one. Use Fast Update/Delete in Flows to process bulk data. In Apex, perform DML on collections, not single records. 3️⃣ CPU Time (Limit: 10,000ms synchronous) Reduce unnecessary loops and nested logic. Push business logic into declarative automation where possible. Monitor CPU usage using Debug Logs to find performance bottlenecks. 4️⃣ Heap Size (Limit: 6MB for synchronous) Avoid storing large datasets in memory. Use QueryMore() for pagination when processing big data sets. Clear variables when they’re no longer needed. 5️⃣ Callouts (Limit: 100 per transaction) Combine requests where possible. What happens when VC-backed companies scale too fast? Their CRM can’t keep up. The pressure to hit targets accelerates. They: • Hire fast • Open new markets • Realize their CRM can’t handle it And if they don’t hit their numbers, people get replaced—fast. • First the sales managers • Then department heads • Sometimes even the CEO The systems they had in place weren't built for this kind of scale. Especially their CRM. Maybe it worked when they had 10 reps. But now they’ve got a 200+ person team, and the whole thing’s falling apart. Here’s why it happens (and what to do about it): 1) Leads slip through the cracks When you scale fast, the lead management process often gets… messy. • When was the last follow-up? • Who’s working which lead? • What’s the next step? No one’s sure. And deals get lost. So, instead of going through all the hassle, put a simple process in place. Make sure no lead goes untouched: • Set clear next steps • Assign every lead to an owner • Log everything in your CRM to prevent missed opportunities If you can’t see it, you can’t fix it. 2) Data gets out of control The faster they grow, the messier data gets. • Duplicate records • Old contacts no one updates • Reps too busy to log activity Pretty soon, no one trusts the CRM. Clean it up. Put a hygiene process in place. And make it a rule: If it’s not in the CRM, it doesn’t exist. 3) Reporting doesn’t make sense You look at the dashboards, and you think… “What am I supposed to do with this?” Dashboards that worked with a small team don’t work now. They aren’t giving you the info you need to make decisions. Fix it by getting back to basics. Simple dashboards that track: • Inbound leads • Closed deals • Time to close So you can make decisions with clarity, not guesswork. 4) New hires are left in the dark Imagine hiring 50 new reps and expecting them to figure it out on their own. Reality check: They won’t. And they won’t log a single thing if they don’t understand why it matters. This happens all the time when companies scale fast. When everyone understands how the system connects to them personally and how it helps them: • Close more deals • Hit their quota • Keep their job Believe me, they’ll use it. 5) Stacking tools won’t fix a broken process We see this all the time. The CRM isn’t working, so they stack on new software: • Call analytics • Engagement tools • Prospecting platforms They hope tech will fix it. But tools aren’t the problem. The real issue? There’s no clear process in place. I'm seeing too many companies focused on the wrong things when implementing a CRM. They're most concerned with things like: - Opportunity stage names - Lead scoring - Campaign tracking - Customer health scores - UI customization I'm not saying these aren't important. They are super important. But all of these can be changed as your business evolves. Sadly, many companies aren't thinking about the most critical piece of CRM implementation: choosing a data model. By that, I mean deciding on the object architecture that suits your business and will continue to support you as you scale. Trust me, you do NOT want to have to implement a custom object 5 years down the line and have to rework every single go-to-market process to accommodate it. You do NOT want to realize in a few years that your contacts aren't associated with....anything.....and you can't report on.....anything. You do NOT want to create three custom objects that should really be custom fields and have to overhaul these in the future. My point? Think deeply about what data model works for your business and come up with processes that ensure all of your objects are being used and associated correctly.
