I connected Zoho CRM to our WhatsApp bot. Now leads get qualified automatically before a human ever speaks to them. Here's the flow: 1. Someone messages our business WhatsApp 2. AI reads the message and classifies intent 3. If it's a lead → asks 4 qualifying questions 4. Based on answers → auto-creates a deal in Zoho CRM 5. Assigns to the right team member based on service type 6. Team member gets a WhatsApp alert with full context Results after 60 days: → 73 leads auto-qualified → 18 converted to clients → Average time from first message to CRM entry: 4 minutes → My team spends 0 time on initial qualification The tech: → Zoho CRM API + MCP server → Claude AI for intent classification → WhatsApp Business API → Python orchestration script What used to take a sales call + follow-up email + manual CRM entry now happens while I sleep. The best part? The AI is actually better at qualifying than we were. No bias, no rushing, no forgetting to ask about budget. What CRM task would you automate first? #ZohoCRM #AILeadGen #WhatsAppBusiness #SalesAutomation #StartupTech

    Building 🚧

RevOps folk spend too much time firefighting 🚒 But automation isn't always a simple solution...especially when you need to handle the messy unstructured context of deal progressions. Here's how I built a workflow using Tango's new CRM Admin agent and "hybrid automation" to save reps a ton of time AND enforce good data hygiene and business rules in HubSpot. Here's how it works: 1. Extract the economic buyer from an email ✨ Agent reviews and extracts relevant information 🙋♂️ Rep validates the extracted information is correct 2. Verify contact on LinkedIn ✨ Agent searches for the economic buyer on LinkedIn and extracts job title 🙋♂️ Rep validates the extracted information is correct 3. Update deal contacts in HubSpot ✨ Agent searches for the deal record using the company name from the email ✨ Agent adds the new stakeholder to the deal record ✨ Agent applies correct association labels to the contact-deal relationship 4. Extract deal context information ✨ Agent extracts context from deal record (notes, call transcripts, emails) ✨ Agent fills required fields to progress the deal ✨ Agent assigns a deal score with explanation and rationale ✨ Agent searches identifies potential risks and next step suggestions 🙋♂️ Rep can edit any information and override rules by providing rationale 5. Progress the deal ✨ Agent fill required information in the deal progression form 🙋♂️ Rep saves the information and moves forward 6. Create follow-up tasks automatically ✨ Agent generate appropriate next steps 🙋♂️ Rep confirms details and completes the workflow The workflow turns unstructured data from prospect/customer conversations into structured and validated data in HubSpot, ensuring accurate forecasting and saving reps a ton of time on CRM busywork. #tangopartner

If it takes more than a week to launch, it’s not your first AI workflow. Don’t kick off a “big AI initiative.” Start with small, shippable wins and stack them. Three lanes to keep you sane: 1) Easy wins (60–90 minutes) → Form spam triage + proper routing → Waterfall lead enrichment into the CRM → Daily campaign digest to your inbox 2) Experiments (plug AI into what already works) → Classify inbound intent and trigger the next step → Automatic sales-call prep briefs sent to Slack → Press-mention monitoring with sentiment + alerts 3) Rethink the work (after you’ve earned trust) → Deal-desk approvals in Slack with clear ownership → Transcript → tasks → CRM updates (closed loop) → Closed-won signals to Slack with context for CS & Finance Build rules, then add AI: → Default to deterministic steps; use AI for extract / summarize / classify / write inside the workflow → Define the trigger, the “definition of done,” fields to update, and the owner → Ship weekly → review what moved a metric → keep what works, cut what doesn’t Month-one plan: Week 1: Form triage + routing; auto-enrichment Week 2: Call-prep briefs; meeting summary → tasks Week 3: Signal-based follow-up on high-intent actions Week 4: Deal-desk flow; closed-won → Slack with context Not flashy. Just consistent. Do this for 30–60 days and “AI in RevOps” stops being a project—it becomes how your system works. — 🔔 Follow Nathan Weill for no-fluff posts on automation, RevOps, and systems that actually ship. #RevOps #Automation #AI #GTM #SalesOps #MarketingOps #WorkflowDesign

This might be the most useful AI feature HubSpot has launched 👀 Their new OpenAI app (now in public beta) lets you build workflows that send CRM data to ChatGPT and automatically write the response back into a property (or into note, Slack notification, etc.) I tested it for the first time over the weekend and it’s surprisingly easy to set up. Here’s what I built in ~20 minutes: → Trigger: recent activity on a deal → Input: latest note + latest email on the deal → Prompt: summarize the buyer’s current step in under 10 words → Output: write the result to a “Buyer next step” property We’re now using that property in pipeline reviews to quickly get context without digging through deal timelines or working through outdated next steps. Note: this feature is currently only available for HubSpot Enterprise tiers. Can’t wait to see how far we can push this across other sales and CS workflows. ✨

I turned 10,000 dead CRM accounts into meetings using Clay workflows. The results were a 20% reply rate, over $200K in pipeline, and zero cold outreach. Most sales teams are sitting on a goldmine, yet they don't even know it. Here's how you can do the same: 1. TURN PAST CUSTOMERS INTO NEW OPPORTUNITIES Look for companies where your contract has ended or gone inactive. Import these accounts from your CRM into Clay. Find the original champion plus new decision-makers who've joined since. Then send targeted messages like: → "We worked with your sales team last year - wanted to share how we've solved the X challenge they mentioned" → "Since our last project with Acme Corp, we've added features specifically addressing your scaling issues." This approach feels like reconnecting, not cold outreach. 2. USE CHAMPIONS AS REFERENCE POINTS Find accounts where you had a strong champion in the past. Use Clay to verify if they still work there and in what capacity. Then reach out to new contacts in that account: → "Saw you work with Sarah, who implemented our solution for your marketing team last year." → "Your colleague Jason mentioned your team is facing challenges with X." Always verify employment status before sending these messages. 3. TARGET RENEWAL WINDOWS Pull contract end dates from your CRM into Clay. Create auto-updating lists that flag accounts 60-90 days before expiration. Find both original buyers and newly added stakeholders. Time your outreach perfectly by saying something like: → "Your current plan comes up for renewal in September - perfect timing to share what's new." This timing creates a natural sense of urgency without being pushy. 4. CONNECT THROUGH OFFICE LOCATION Import location data for your contacts from your CRM. Use Clay to find new prospects at the same physical office location. Verify if both your champion and new prospect work on-site. Write messages that reference the shared location: → "Noticed you work with Sarah in the Austin office - we helped her team last quarter with X" This creates immediate familiarity and leverages existing presence. 5. BUILD LOOKALIKE ACCOUNTS Take your best-performing customers from your CRM. Run them through Clay + Ocean.io to find similar accounts. Target these accounts with messaging that references success patterns: → "Companies like Apple, Tesla, and Spotify saw 43% faster sales cycles using our approach." → "Based on our work with similar X teams, we've found Y works well for them" This combines the credibility of social proof with personalization. _____ The real edge comes from maintaining good CRM hygiene and regularly updating data. Most teams are sitting on gold, but still use outdated or incomplete information. Start using what you already have instead of starting from scratch.

In 2025, Claude became my co-founder. Not a chatbot. Not an assistant. A system that actually runs parts of my business. Most people say they use AI. What they really do: → Ask ChatGPT to write an email → Copy-paste it → Call it innovation That approach is already outdated. The real shift happens when AI stops writing… And starts operating your tools. – WHAT CHANGED EVERYTHING FOR ME – I connected Claude to my actual GTM stack using MCPs. Meaning Claude can now: → Read and reply inside my LinkedIn inbox → Build n8n workflows from plain English → Query, update, and clean HubSpot → Decide what needs my attention before I ask No tab switching. No dashboards. No “I’ll do it later”. Just one chat. – REAL EXAMPLES FROM MY DAY – → “Show me the 3 LinkedIn conversations I should follow up on right now.” ↳ Claude checks my inbox and prioritizes them → “Draft and send a contextual follow-up to Josh.” ↳ Sent from my actual account → “Build an n8n workflow to scrape post engagers and push them to Sheets.” ↳ Workflow JSON ready in minutes → “Show closed-won deals from the last 60 days and flag missing contacts.” ↳ Done. No CRM clicking This is not theory. These are upgrades on workflows you already have. – THE BIG MISTAKE MOST TEAMS MAKE – They use AI like a search engine. Instead of building it into their infrastructure. Once AI can act, not just suggest… Your speed compounds fast. If you’re still manually: → Managing inboxes → Building automations node by node → Clicking around your CRM You’re playing the 2024 game. – WANT THE FULL BREAKDOWN? – I documented everything: → LinkedIn MCP setup → Claude + n8n workflows → HubSpot from chat → Prompts & guardrails I actually use Comment “MCP” and I’ll send you the full guide. And yes - I’m still hiring humans. But Claude earned his co-founder badge.

We don't write code anymore. We write prompts. But not the way you think. Most people open Claude or Lovable and type "build me a dashboard." Then wonder why they get something unusable. We've deployed 7 internal tools for clients in 6 months, and each one boosted team efficiency by 50% or more. The difference between a successful and unsuccessful build is the prompting system behind it. Here's the exact 5-prompt framework we use: 1️⃣ Architecture Prompt Before touching any features, we define the foundation. → What's the core data structure? → How do systems connect? → What are the user roles and permissions? This prevents rebuilding from scratch when you realize the foundation was wrong. 2️⃣ Workflow Prompt Internal tools live or die by how well they match existing workflows. → Map the current process step-by-step. → Identify where data enters and exits. → Define what "done" looks like for each task. Most tools fail because they force teams into new workflows instead of enhancing the ones they already use. 3️⃣ Feature Prompt Now we build individual features one at a time. → Describe the exact input and output. → Include edge cases upfront. → Reference the architecture and workflow prompts. Each feature prompt is specific enough that AI can't misinterpret it. 4️⃣ Integration Prompt Internal tools are useless in isolation. → What existing systems does this connect to? → How does data flow between them? → What triggers automations? This is where efficiency gains actually happen. Your CRM talks to your project tracker talks to your reporting dashboard. One source of truth. 5️⃣ Refinement Prompt After deployment, we iterate based on real usage. → What's breaking or confusing users? → What's taking longer than expected? → What feature requests keep coming up? The first version is never the final version. Build the feedback loop into the process. This framework turns vague ideas into production-ready internal tools in weeks, not months. And because it's built for YOUR workflow, not a template, teams actually use it. That's where the 50%+ efficiency gains come from. Not fancy features. Just tools that match how your business actually operates. Save this post for your next build. 🔖 Follow me Luke Pierce for more content like this.

The shift has finally happened: We no longer expect sales reps to update their CRM. Now, don’t get me wrong—most leaders still want their reps to log data and keep records clean. But after countless conversations with RevOps leaders, one consistent theme stands out: “I know they won’t do it, so I need to find a way to have it done automatically (ideally using AI).” For years, there was this fallacy: “If we just push harder, the reps will do it” Withhold commissions Run spiffs for compliance Tell them it’s part of the job The problem? You can’t force people to do something they shouldn’t have to do in the first place. Yes, I said it. If you’ve got great reps (or even solid ones), you don’t want them updating the CRM. You want them selling. You want them out there: Prospecting Doing deep discovery Building business cases Navigating buying committees Closing deals You don’t want them wasting time logging data points about a lead’s city, job title, or call notes. Why? According to Salesforce, salespeople only spend 28% of their time actually selling. A significant portion of the remaining time is spent on administrative tasks, data entry, and CRM updates. This isn’t just a “nice to have” anymore—it’s a productivity issue. Here’s the good news: There are plenty of solutions that don’t rely on reps manually entering data into the CRM: ✅ AI-powered tools - Automatically log calls, emails, and meetings. They will send summaries of the calls and even draft optimal email follow-ups. ✅ Automated workflows - Capture and update data through integrations and data manipulation commands. ✅ Non-sales teams - Let BDRs, VAs, or outsourced employees handle some of the CRM upkeep. This doesn't mean sales reps will never touch the CRM. On the contrary, they should still use it—but they shouldn’t be spending hours cleaning up data. That’s not the best use of their time. Ultimately, we need to empower salespeople to focus on the high-impact, high-leverage work that drives revenue. Sales teams will always need good data, but that data doesn’t have to come at the expense of your reps’ time.

A business can lose thousands in potential revenue without losing a single lead. How? By treating every lead the same. When every inquiry is manually reviewed and followed up in the order it arrives, valuable opportunities end up waiting alongside low-quality ones. That means slower response times, inconsistent decision-making, and hours spent on repetitive administrative work. So I built an AI Lead Scoring and Routing Workflow to solve that problem. Here's how it works: • A new inquiry is submitted through Typeform. • AI analyzes the lead based on the business predefined business qualification critter is such project fit, budget, urgency, and industry. • The lead is automatically classified as Hot, Warm, or Cold. • High-priority leads trigger an instant Slack notification. • Warm and cold leads receive the appropriate automated follow-up. • Every lead is logged into Airtable with an AI score, summary, and key insights. The real value isn't the automation itself. It's the business impact: ✅ High-value leads are identified and prioritized within seconds, reducing response time. ✅ Teams spend less time manually reviewing inquiries and more time speaking with qualified prospects. ✅ Every lead is evaluated using the same criteria, creating a more consistent qualification process. ✅ The CRM is automatically updated with structured, AI-generated insights, making reporting and follow-up easier. ✅ Warm leads are nurtured automatically instead of being forgotten, helping businesses stay engaged with future opportunities. ✅ As the business grows, the system can handle a higher volume of inquiries without adding the same amount of manual work. Built with n8n, OpenAI, Typeform, Airtable, Slack, and Gmail. If you'd like to see how the workflow manages Warm and Cold leads behind the scenes, let me know in the comments and I'll record a walkthrough.

A Company has 50 sales reps. Each spent ~9 hours/week fighting their CRM. 450 hours wasted. Every week. --- The problems: ❌ Duplicate accounts (same company, 8 different spellings) ❌ Invalid phone numbers (some 7 digits, some 13) ❌ Customers receiving cold outreach ❌ Deals stalling with no follow-up ❌ Data eroding at 30%/year Their solution attempts: → Weekly training sessions → Slack reminders → Manager reviews → "Please be more careful" emails Result? Nothing changed. --- We stopped trying to change behavior. We changed the SYSTEM. --- Here are the 5 guardrails we built: 1️⃣ LOOKUP FIELDS BEFORE NEW RECORDS Before creating a new account: → System forces search of existing records → Shows fuzzy matches ("Target Integration" matches "TargetIntegration") → Must explicitly choose "Create New" after seeing matches Result: 90% reduction in duplicate accounts --- 2️⃣ PHONE NUMBER VALIDATION Validation rule: → Must be exactly 10 digits → Auto-strips spaces, dashes, parentheses → Won't save record if invalid No more 8-digit numbers. No more international formats mixed with domestic. Clean data, every time. --- 3️⃣ AUTOMATED CUSTOMER STATUS UPDATES When deal closes: → Webhook fires to automation platform → Lead status → Customer status (automatic) → Record locked from outbound sequences → Customer success team notified Result: Zero customers receiving cold outreach --- 4️⃣ DEAL STALL ALERTS Escalation metric: → Any deal untouched for 15+ days → Auto-notification to manager in Slack → Includes deal context + last activity → Manager can reassign or follow up Result: 95% reduction in stalled deals --- 5️⃣ AUTO-ENRICHMENT VIA CLAY Every 30 days: → Clay syncs with CRM → Pulls latest LinkedIn data → Updates job titles, company info → Flags records with outdated data Result: Data erosion from 30% → 3% --- The outcome: ✅ 450 hours/week saved across team ✅ Duplicate records down 90% ✅ Invalid data down 95% ✅ Customer satisfaction up (no more awkward outreach) ✅ RevOps team freed from cleanup duty Cost to implement: ~$500/month in tools Value created: $67,500/week (450 hrs × $150/hr) ROI: 13,400% --- The lesson? You CANNOT train your way to clean CRM data. Humans fail. Get busy. Forget. Take shortcuts. But systems with guardrails? They enforce quality automatically. --- 🎯 Make bad data input IMPOSSIBLE, not discouraged. That's the difference between: → RevOps as data janitors → RevOps as strategic operators --- Which guardrail would save your team the most time? Comment below what resonates for you.
