    How to Write Cold Emails That Actually Get Replies Cold emailing can feel like shooting arrows in the dark—most get ignored. But with the right approach, your emails can land opportunities instead of in the spam folder. Here’s how: 1. Subject Line is King • Keep it short & personalized (e.g., “Quick Question, [First Name]?” or “Loved Your Work on [Project]”). • Avoid spammy words like “Free,” “Limited Offer,” or “Act Now.” 2. Get to the Point (Fast!) • Nobody has time for long intros. State your purpose in the first two lines. • Example: “Hi [Name], I saw your work on [Project] and found it insightful. I’d love to connect and discuss [Specific Interest].” 3. Personalization Over Copy-Paste • Mention something specific about them—their work, recent post, or company. • Example: “I noticed your team at [Company] recently launched [Product]. The strategy behind it was brilliant.” 4. Value Over Ask • Instead of immediately asking for a favor, show how you can help them. • Example: “I’ve been working on [related topic] and found insights that might interest you.” 5. Clear and Low-Effort CTA • Make it easy for them to respond. Instead of “Let me know when you’re free,” try: • “Would love to chat—does Tuesday at 3 PM work for a quick 10-minute call?” 6. Follow Up Without Being Annoying • If no response, follow up in 3-5 days with a short, polite nudge. • Example: “Just wanted to check if you had a chance to look at my last email. Happy to connect whenever convenient.” Cold emails aren’t about luck—they’re about strategy. Master this, and you’ll turn cold contacts into warm opportunities.     Want your words to actually sell? Here’s a simple roadmap I've found incredibly helpful: Think of crafting your message like taking someone on a mini-journey: 1. Hook them with curiosity: Your headline is the first "hello."  Make it intriguing enough to stop the scroll.  Instead of just saying "Email Marketing Tips," try something like "Want a 20% revenue jump in the next 60 days? (Here's the email secret)."  See the difference? Promise + Specificity = Attention. 2. Tell a story with a villain: This might sound dramatic, but hear me out.  What's the problem your audience is facing?  What's the frustration, the obstacle, the "enemy" they're battling?  For the email example, maybe it's "wasting hours on emails that no one opens."  Giving that problem a name creates an instant connection and a sense of purpose for your solution. 3. Handle the "yeah, but..." in their head: We all have those internal objections.  "I don't have time," "It costs too much," "Will it even work for me?"  Great copy anticipates these doubts and addresses them head-on within the message. 4. Show, don't just tell (Proof!): People are naturally skeptical.  Instead of just saying "it works," show them.  Even a simple "Join thousands of others who've seen real results" adds weight. Testimonials, even short ones, are gold. 5. Make it crystal clear what you want them to do (CTA):   Don't leave them guessing!  "Learn the exact steps in my latest guide" or "Grab your free checklist now" are direct and tell them exactly what to do and what they'll get.  Notice the benefit in the CTA example: "Get sculpted abs in just 4 weeks without dieting." And when you're thinking about where you're sharing this (LinkedIn post, email, etc.), there are different ways to structure your message. The P-A-S (Problem-Agitate-Solution) or A-I-D-A (Attention-Interest-Desire-Action) frameworks are classics for a reason. The core difference I've learned? Good copywriting isn't about shouting about your amazing product. It's about understanding them – their challenges, their desires – and positioning your solution as the answer in a way that feels like a conversation, not a sales pitch.

    Cold emailing got my candidate a ₹9 LPA job offer. Yes, the same “cold emailing” that people love to call dead. The thing is, it only feels dead because most people do it the wrong way. Let me explain what actually works. 👇 One of my students didn’t come from a top college. No fancy referrals. No previous experience. But she had skills. And more importantly, she was willing to show up. So instead of applying to portals and praying for a callback, she did this: ✅ Identified 10 companies she genuinely wanted to work at ✅ Found the right people (hiring managers, founders, and team leads) ✅ Wrote personalized emails (no copy-paste templates, please). ✅ Attached a 2-slide pitch of what she could help with (not a long resume dump) ✅ Followed up 3-4 times One of those cold emails turned into a conversation. That conversation turned into a test task. And 7 days later… she got the job. So, if you're wondering what that email looked like, here's the structure: “Subject: Quick help with your IG growth strategy Hi [Name], I recently came across your [brand/project] and was impressed with the content, especially your campaign on [XYZ]. I’m a marketing student, and I’ve helped 2 other small brands improve their IG reach with reels and creator collabs. I noticed your current strategy misses a few high-engagement formats. Would love to share a few ideas. Here’s a 2-minute video I made with suggestions: [Link] If you find it useful, I'd love to intern with you and support your team.     When I was at Salesforce, I used this exact cold email framework to book meetings with CEOs, COOs, and CFOs at the biggest companies in the world. Now I coach 100s of reps to use it—and they’re landing meetings that most sellers only dream about. Most reps never get to sell to the C-suite. Not because they don’t work hard. But because they reach out with transactional garbage that looks like every other email in the inbox. Executives don’t want another seller. They want a partner who understands their business. Here’s the cold email formula that works: 1. Warm and personal Lead with a sincere compliment. “I saw your podcast on ___…” “I read your Forbes interview and was moved by…” Show them you did your homework. Not some AI-generated flattery—real human admiration. 2. Shared values or struggle Make it human. “I related deeply when you talked about overcoming ___. I’ve faced something similar.” Vulnerability isn’t weakness—it’s how you earn trust. 3. Research-backed insight Cite a 10-K, public statement, or article. “Based on your Q1 earnings call, I noticed you're focused on X.” Link to the source. Build credibility. 4. A sharp POV + direct linkage Don’t say, “We help companies like yours.” Say, “You’re trying to achieve X. Companies on that journey often hit Y. Here’s how we solve it.” Make the connection crystal clear. 5. Soft CTA, strong conviction No desperate energy. Just: “If this is a priority, would it make sense to connect?” You’re not begging.     I’ve sent 10,000+ cold emails in my career. Those emails have generated $100M+ in revenue. Here are 11 tips to help you 10x your response rates: 1. Set Your Expectations If you're new to cold emailing, expect a 5% response rate. As you improve, you can boost that to ~20%+. It's important to know that the best cold emailers still hear "No" far more than they hear "Yes." But you only need a few "Yeses" to win. 2. Email Multiple Contacts Most people send one email to one contact and give up. Emailing multiple people increases your surface area for success. You never know who you'll catch at the right moment! I personally recommending emailing 5 different people at your target org. 3. Your Subject Line Data from multiple sources shows that subject lines with the highest response rates: - Are 2-4 words long (Boomerang) - Ask a question (Yesware) - Are ambiguous (Boomerang) My favorites are: - Quick Question? - Mentioning You? - [Result] In [Y] Time? 4. Write Like A 3rd Grader Data shows that emails written at a 3rd grade level see the highest response rates. That means: ✅ Use plain, simple language ❌ Avoid complex words and jargon I love HemingwayApp's Readability score for this. 5. Be Positive! Data also shows that a positive tone can boost response rates by ~15%. Aim to have a casual, positive vibe in your writing. To get there, pretend like you're writing this email to a friend. Also try to write the way that you speak. 6. Use A 3 Second Hook Most emails start with something like: "Hope you're having a good day!" That's boring. Instead, hook your contact with a personalized, value-driven statement. Ex: "Hey Tim, I want to help [Company] 3x your CVR in 30 days, below are 3 ways to do it." 7. Over Deliver On Value People avoid click bait. Your hook might seem that way, so follow it up with even more value: - Share relevant ideas - Show how to implement them - Provide real data The goal is to get your contact to take action and see real value. 8. Use Social Proof Social proof is one of the most effective trust builders. Weave it into your email in the form of: - Mentioning a mutual contact - Linking to case studies - Including testimonials The key is to do this naturally, not like a brand marketing email. 9. Use An "Exit Clause" No one wants to feel pressured. Everyone wants control. Tap into both by ending your email with an "Exit Clause." This is a statement when you recognize their time and give them an easy "out." 10. Follow Up! 44% of cold emailers give up after the first attempt. But 60% of prospects say "No" four times before they say "Yes." If you want to win? You need to follow up! I personally recommend four follow ups every 5 business days. Use Yesware to automate these.

  • Sales folks, take note! Spamming a target company's employees with your services and requests for meetings will result in your company making its way onto a buyer's blocklist. As a buyer in the localization industry, I receive dozens of emails and LinkedIn requests every single day from vendors looking to showcase translation, AI, QA services, and more. It's not humanly possible to give personal replies to every outreach. When vendors can't get through to me, they often reach out to everyone on my team... and sometimes to many others across my company. I'd love for this practice to stop. It wastes valuable company time and makes a vendor appear desperate and non-strategic. Here's what to do instead: 1. Appeal to ego! Invite a target company’s decision-maker to a panel, or start a vlog series and ask buyers to appear and discuss industry topics. It’s also a great opportunity to reposition your company as a thought leader. 2. Offer genuine insight, not just services. Share a case study, white paper, or benchmarking data that’s actually useful to the buyer’s role, and do it without a sales pitch. 3. Build a reputation before you build a pipeline. Comment thoughtfully on posts. Contribute to community conversations. If you consistently show up with value, you’re far more likely to get noticed. 4. Target smarter, not broader. Don’t shotgun your message to an entire company. Learn the org. Understand the buyer’s scope. Then send one well-researched, personalized note that shows you actually did your homework. 5. Focus on mutual value. Can you help solve a known pain point or offer perspective on something changing in the market? Frame your outreach around collaboration, not consumption. 6. Use timing to your advantage. Keep tabs on when companies are hiring for roles associated with your offerings, launching in new markets, or attending conferences. That’s when buyers are more receptive to new solutions. 7. Lead with generosity. Offer a no-strings-attached resource, intro, or suggestion that doesn’t benefit you directly. Reciprocity is a powerful trust builder. And please! Don't ever ever call me on the phone! ;)

    I’ve talked to 4-5 SDR Leaders that have gotten their email domains TORCHED in the last 2 months. Here’s the thing all outbound teams need to understand about deliverability: Email deliverability is a “death by a thousands paper cuts” type of situation. Stop stacking paper cuts and do these 9 things: 1️⃣ Set up secondary domains If you are still cold emailing off your primary email domain you may be in big trouble. This is crucial. Using something like Maildoso makes getting these domains and the whole technical setup super fast... more on that below. The last thing you want, especially if you DONT have a reputable domain like Salesforce(.)com is to burn your orgs primary domain. This doesn’t just affect your sales team. You don’t need your CSMS and CEO landing in SPAM. 2️⃣ Set up your DNS (DMARC, SPF & DKIM) records for ALL of your domains To skip the manual DNS headache... Maildoso automates this setup. I just set up 2 new domains in literally 1 minute with them last week. Right now we can only set up 2 mailboxes per rep in Outreach. Going to be adding a Smartlead integration soon in Common Room to run higher volume experiments based on various intent signals and double down on the ones that work with human SDRs. 3️⃣ Secondary domains should link to your primary You want to make sure your prospects are being directed to your actual company domain if they are curious and click. 4️⃣ Email Warmup - Domains should be “warmed up” for ~14 days before cold emailing Send at least 20-30 warm up emails per day per email account, with a 40% reply rate. This builds your domain reputation. 5️⃣ Email Volume - Build this over time. Start with 5-10 emails a day per account and do NOT send more than 30 emails per day per email account 6️⃣ Keep your email signature plain text. No Links. No images. No calendar links…at all Add your address in your signature and make sure you put a picture in your Outlook or Gmail profile. 7️⃣ Vary your cold email copy (i.e. SPINTAX). Sending the same template to every prospect signals that you are a spammer. Customize your first step email. For emails further in your sequence, use Spintax. Use alternate phrases “Hi, Hey, Hello”. New age sequencers do this automatically. 8️⃣ Understand that your domain gets TORCHED when people mark your email as spam. Good and relevant copy matter. 9️⃣ Constantly monitor your email deliverability. Deliverability varies across Outlook and Google servers. Get a platform that helps you land in ALL inboxes. Again, Maildoso makes this super easy...  they have daily reputation monitoring built right in so you catch issues fast. They average 98%+ inbox placement - wild. If you’re looking to break into foreign research institutions, here’s a guide to help you craft the perfect cold email: 👉🏻 Target the Right Institutions: Start by identifying universities or research groups abroad that align with your field of interest. Look for professors and projects that resonate with what you want to pursue. 👉🏻 Craft a Strong Introduction: The subject line and opening paragraph should grab attention. Personalize it by mentioning a project or paper by the professor that caught your eye. Address them by name – it shows you’ve done your homework! 👉🏻 Showcase Your Experience: Highlight your relevant experience, research, and skills. Keep it concise with short paragraphs or bullet points to make it easy to read. 👉🏻 Align Your Interests: Share why you’re passionate about the field and how their work connects with your own academic and career goals.
